The Center for International Forestry Research (CIFOR)

conducting research to inform policies and practices that affect forests

Consultative Group on International Agricultural Research (CGIAR). Our

Secretary Bogor (Jawa Barat)
Responsibilities:
-
The Secretary will provide general secretarial and administrative
support to the Forests and Governance Programme. The position will be
based at CIFOR’s headquarters in Bogor.
Duties and responsibilities
-
Coordinate the schedules and agenda for the Director and/or scientists and research staff.
-
Provide administrative support such as doing correspondence (including
translation), taking and writing up minutes of the programme’s
meetings, report writing, and preparing presentation materials and other
written and illustrative materials as required.

Assist in the completion of requisition and Travel Authority forms, as well as in the arrangement of accommodation etc.

Assist in the planning and coordination of meetings, workshops,
seminars, visits or other events in or outside CIFOR; take
responsibility for event logistical matters such as accommodation,
transportation (both air and ground), invitations, liaising with
relevant departments in the visa/permit process, and other logistical
matters as necessary. These activities are done in coordination with the
Events Coordinator, the Finance & Administration office, the HR
office and other relevant staff or offices.

Manage and maintain the programme’s filing systems (and databases) to ensure well-documented and up-to-date records of files.

Support the Director, the Senior Project Officer-GOV, scientists and
project managers in the development of contracts for partners and
collaborators, and liaise with the relevant offices in the finalisation
of contracts.

Provide and distribute CIFOR publications when needed.

Maintain and monitor supplies of forms and other office requirements.

Perform other tasks as may be required to support the smooth
functioning of the office and to support and work with colleagues within
the office and with other CIFOR staff.
Details of duties, assignments and objectives will be further discussed and laid out in the annual performance contract.
Requirements:
Education, experience and technical skills
-
Diploma in secretarial duties, administration or other related fields
-
Three or more years of experience in secretarial duties
-
Knowledge of administrative standards and practices
-
Knowledge of finances is an advantage
-
Good written and spoken English, able to draft letters in official
English and conduct business in English through email and other means of
correspondence

Strong computer skills in word processing, MS Excel, Powerpoint, internet and other relevant office applications.

Competent in personal organisation and priority setting, with the
ability to work efficiently under time pressure and manage multiple
priorities

Shows initiative, capable of working independently and as an effective team player

Good interpersonal and communication skills, with the ability to
effectively interact with people in a multi-disciplinary and
multi-cultural environment

Experience working with a wide and diverse network of groups and individuals.
Terms and Conditions

This is a nationally recruited position. CIFOR offers a competitive remuneration commensurate with skills and experience.

The initial appointment will be for two years starting as soon as
possible, with possible extension contingent upon performance, continued
relevance of the position and available resources

The duty station will be in Bogor, Indonesia.
